Bitrix24 implementation: prepare before configuring CRM

Follow one test inquiry from first contact to the deal outcome. If ownership and the next action are unclear, define the process before automating it.

Define an implementation outcome

Choose a specific problem: inquiries go missing, follow-ups are forgotten or managers cannot see why deals are lost. For each problem, record a measure, its baseline and the person responsible for checking it. Filled fields alone do not demonstrate better sales.

Bitrix24 brings together deals, communications, tasks, reporting and automation. Check required functions and limits against the chosen plan and integrations. Licensing, implementation and third-party applications may have separate costs.

Draw a pipeline with transition rules

For a simple service, a discussion example is: new inquiry → requirements → proposal → agreement → won or lost. Treat it as a starting point, not a universal pipeline.

For each stage, specify the owner, next-action deadline and completion criteria. Describe repeat customers, duplicates and declined offers separately. A stage needs a clear action for the salesperson, not just a name for reporting.

Prepare data, permissions and channels

  • Appoint a business-side project owner and pilot participants.
  • Inventory customer data from spreadsheets, the previous CRM, email and forms. Clean duplicates and agree on mandatory fields.
  • Define who can view, edit, export and delete data.
  • List telephony, email, messengers and website forms. Check integration support, account ownership and additional costs.
  • Agree on interface, message template and training languages for your team in Georgia.

Run a limited pilot

Start with one team and one inquiry source. Check deal creation, assignment, notification, follow-up and reporting. Then test exceptions: duplicates, missed calls, absent employees and integration failures.

Automate rules that the team already understands. If an automation fails, someone must be able to see the failure and take responsibility. Prepare a short daily-use guide, not only a system demonstration recording.

Acceptance checklist

  • A test inquiry completes the agreed workflow.
  • Permissions have been tested through employee accounts, not just the administrator.
  • Sample data matches the source; inquiry origin and follow-up are visible.
  • Notifications and integrations work, with failure scenarios checked.
  • The team is trained, a support owner is assigned and a results review is scheduled.
