Cloud or On-Premise Bitrix24: How to Choose

Make one table: requirement, verification method, owner and costs. It will show whether you need your own server or a cloud account meets the task.

Start with a task you can test

Hypothetical example: a sales team receives website inquiries, assigns an owner and monitors overdue deals. First test that path with sample data: a new inquiry, a repeat, a stage change, a salesperson’s access and a manager’s report. Choosing an on-premise edition does not prove that the scenario works.

Record any requirement the cloud genuinely cannot fulfil: an internal integration or a modification confirmed by assessment. “We need maximum flexibility” is too vague to justify a deployment decision.

Name the people who operate the system

The cloud version is a supplier-operated service; the on-premise version is installed in a chosen server environment. The supplier updates the cloud product. For your own installation, assign ownership of the environment, updates, backups and restoration.

In either model the business owner needs administrative access and a documented handover. Owning a server does not replace role configuration, access protection or a restoration test.

Use the same pilot for both options

  • Sales and permissions: verify the required records, roles and visibility as a regular user, not only an administrator.
  • Integration: specify the system, objects, direction and retry; confirm a supported exchange method for the chosen version.
  • Customisation: state the required outcome; assess built-in settings, an application and custom code separately.
  • Operation: name the owners of updates, backups, monitoring and incident support before launch.

Compare the same cost categories

Separate product usage rights, implementation, external services and support in your estimate. An on-premise installation also needs a server environment and its operation. A free or paid plan does not describe the whole project budget.

Cloud and on-premise licensing differ. Verify the edition, functions, renewal terms and purchase region before making an offer; an old pricing table is not a current quotation. This guide promises no universal user limit or project price.

Assess a migration before switching

  • List data, files, history, relationships, users, applications and current integrations. Flag anything the migration might not preserve.
  • Agree a test environment and sample records. Compare counts, fields, relationships and permissions after a trial migration.
  • Test an inquiry, a repeat submission and external exchange. Record failures and recovery without duplicates.
  • Agree the switch time, owner and rollback route. Keep the working system until the result is confirmed.
  • Obtain a separate implementation estimate. Technical assessment defines scope and risks; it is not a completed migration.
