CRM total cost: what to include beyond the subscription

A subscription price is only one line in a CRM budget. Compare the cost of reaching an agreed working process and keeping it usable over the same period.

Use one period and one scope for comparison

Choose a planning period, such as the first twelve months, and a separate renewal view. List implementation, platform charges, external services, infrastructure, operation and internal staff time. Mark optional work and unknown items instead of setting them to zero.

A working calculation is one-time costs plus recurring payments over the chosen period. It is not a quote until the scope, rates and dependencies have been confirmed. Record the currency, payment schedule and who approves each line.

Verify the actual licensing proposal

Consult the official plan information, then obtain a current offer for the customer's product and purchasing region. Do not transplant a public price from another region into an approved estimate.

Check required functions, user and usage limits, payment period, renewal and separately purchased applications or services. Website language and currency do not establish licensing region. Cloud and self-hosted versions must be evaluated as distinct deployments; an integration mentioned in a product overview is not proof that it is included or available in the selected plan.

Estimate preparation as well as import

Inspect the source data with permission: fields, formats, duplicates, incomplete contacts and record relationships. Agree on what moves, what stays archived and who decides disputed matches. Back up the source before an agreed migration.

Illustrative example: two customer sheets use different phone formats and conflicting company names. Cleaning and matching are separate work from uploading a file. Run a small trial, compare counts and relationships, and agree on correction rules before scheduling the full transfer.

Specify each exchange before pricing it

For every exchange, name the systems, direction, records and source of truth. Describe frequency, access, errors, repeated events and acceptance. 'Connect the website' can mean one form or a two-way catalogue exchange; those scopes cannot share an unqualified estimate.

If the API or data quality is unknown, budget an investigation with its own deliverable. Do not treat investigation as a promise of complete development. Confirm third-party charges and who maintains the exchange after an update.

Include the cost of everyday use

Plan role-based training, written instructions and time for the team to adopt the process. Define responsibility for users, permissions, reports, backups and recovery. For self-hosted deployment, separately describe infrastructure and maintenance; verify the provider's actual responsibilities for cloud deployment.

Specify what support includes, how requests are accepted, which changes are additional and what happens at handover. Do not assume unlimited changes or a guaranteed response time from the word 'support'. Include renewals and an agreed route for leaving the solution.

Ask for an estimate that can be accepted

  • Each work item has a concrete result, inputs, exclusions and an acceptance check.
  • Unknown work is marked with an investigation or assumption, not hidden in a fixed total.
  • Platform and contractor payments are separated; the business retains agreed account access and project materials.
  • Compare offers only after matching scope and period. Review costs when users, data volume or integrations change.
