Record the exact symptom
- App name and version, device and account type: new or classic Outlook, mobile client, IMAP or Exchange if known.
- What fails: sign-in, receiving, sending, one recipient, an attachment or folder synchronisation.
- Time, full error text and code; recent password changes, mail migration or configuration changes.
- One synthetic test without customer information; record webmail and app results separately.
Compare four results
Hypothetical example: webmail passes both directions, while Outlook sends but does not receive. This narrows investigation to the client connection and synchronisation, but does not prove a specific cause. If webmail fails too, start with the provider and mailbox.
If only one recipient misses a message, compare another external address and the non-delivery report. Check outbox and spam folders, and ask the recipient to confirm receipt. A Sent folder entry alone does not prove delivery.
Start with reversible checks
Check internet access, the selected account and connection status. Use Microsoft’s current instructions for your version: new and classic Outlook have different steps. Compare connection settings with your provider’s guidance, rather than an example for another service.
Check the mailbox and provider status, limits and the specific stuck message. Do not replace a DNS zone or MX records just because one app fails. Do not disable protection wholesale or share a password through an ordinary inquiry form.

Preserve data before repairing a profile
Application repair, a new profile or local archive work needs instructions for the installed version. Before those steps, locate any messages stored only locally and preserve them through an agreed method. Do not delete an old profile as a test before confirming archive access.
Record a code such as 0x8004010f with its context. It is not a diagnosis or a universal repair command. If only a phone fails, record the device, account and a separate test with another client.
Repeat the test and hand over evidence
After a change, send and receive the same test messages. Record time, app, actual delivery and a repeat after restarting. For further investigation, the administrator needs the four test results, version, error and change list, not the entire mail archive.
The provider owns mailbox operation and rules; a workplace specialist handles the client and local data. Our business-email guide covers email planning during a website launch. This checklist does not promise one repair recipe for every old Outlook version.
